What this does
Most HVAC businesses leave reviews on the table because they ask too late. The peak satisfaction window is 20–30 minutes after a job is completed. This template sends a review request automatically at that moment — with a direct link to your Google profile so it takes the customer 30 seconds, not 3 minutes.

Setup guide
Get your Google review short link
Search your business name on Google → click "Write a review" → copy the URL from your browser. It will look like: https://g.page/r/XXXXXXXX/review. Shorten it at bit.ly so it fits cleanly in an SMS (example: bit.ly/yourbizreviews).
Pro tip: Test the link yourself first. It should open directly to the Google review box without requiring the customer to search for your business.
Create a Zap triggered by "Job Completed"
In Zapier, use the "Job Completed" or "Invoice Sent" trigger from your scheduling tool (ServiceTitan, Housecall Pro, etc.). If your tool doesn't have this trigger, use "New Row in Google Sheets" — maintain a simple sheet where techs mark jobs complete.
Add a 20-minute delay
Add a "Delay by Zapier" → "Delay For" → 20 minutes. This is critical — sending immediately feels robotic. At 20 minutes the customer is home, the tech has left, and they're still in the "that went well" mindset.
Pro tip: Don't extend this delay past 2 hours. After that, the emotional window closes and response rates drop significantly.
Send the review request SMS
Add a Twilio SMS action after the delay. Paste the message below, inserting your Google review link.
Hi [First Name], it's [Your Name] from [Company Name]. Hope everything's running great! If [Tech Name] took good care of you today, we'd really appreciate a quick Google review — it takes about 30 seconds and means the world to a small business like ours. [Your Google Review Link]. Thank you!
Pro tip: Personalize with the tech's actual name. "Did Marcus take good care of you?" outperforms generic requests by 40%.
Test and activate
Mark a test job as complete. After 20 minutes, verify the SMS arrives. Check that your review link works and opens directly to the Google review box. Turn the Zap on.
